General Responsibilities

Terracon is seeking a Project Accounting Specialist responsible for coordinating accurate and timely project registration, billing, collections, and procurement activities for an engineering consulting firm.

This position ensures all financial processes align with contractual agreements, accounting standards, and internal controls—delivering precise billing and maintaining project documentation throughout the project life cycle.

Key Responsibilities

Project Setup, Review, and Maintenance

  • Review and process new project registrations, ensuring data accuracy and alignment with contracts or purchase orders.

  • Assist in project opening and closing activities.

  • Manage budgets, track change orders, and alert Project Managers to potential budget overages or unrecognized revenue.

  • Maintain organized electronic project files including contracts, authorizations, and financial records.

  • Apply company quality assurance standards for documentation and retention.

Billing & WIP Management

  • Maintain billing schedules according to contract terms or management direction.

  • Prepare draft invoices for approval and finalize client billing packages with required backup documents.

  • Ensure timely communication and follow-up with Project Managers to meet billing deadlines.

  • Submit invoices via mail, email, or client portals.

  • Process WIP adjustments and resolve billing discrepancies.

  • Support regional finance functions as assigned.

Collections

  • Conduct follow-ups on outstanding invoices through phone and email.

  • Record all client interactions and collection activities in the system.

  • Collaborate with Project Managers, Finance, and Corporate Collections to resolve overdue accounts.

Procurement

  • Create and approve requisitions, verify accuracy of project information, and process invoices.

  • Manage vendor onboarding for new suppliers and handle office credit card reconciliations.

  • Support per diem and cash advance requests.

  • Ensure compliance with safety and quality standards on all projects.

Qualifications

  • Education: Associate’s degree and 2+ years of related experience, or 4+ years of related experience in lieu of a degree.

  • Skills:

    • Strong attention to detail and organizational skills.

    • Excellent communication and coordination abilities.

    • Problem-solving mindset with the ability to multitask.

  • Other:

    • Valid driver’s license with acceptable record.
