About the Role

Are you highly organised and passionate about service planning and workforce deployment in healthcare? North London NHS Foundation Trust (NLFT) is seeking three experienced and proactive Rota Coordinators to join our dedicated team supporting the medical workforce across our North London boroughs.

As a Rota Coordinator, you will play a crucial role in ensuring safe and effective medical cover by managing rotas, coordinating agency staffing, and supporting the use of e-rostering systems. This is a dynamic and varied position suited for individuals with excellent communication, organisational, and problem-solving skills.

Key Responsibilities

Rota & Roster Management

  • Create, coordinate, and maintain multiple medical rotas and rosters in accordance with the Working Time Directive (WTD)

  • Ensure daily publication of out-of-hours rotas and cover gaps through internal bank or agency staff

  • Use the HealthRoster e-rostering system to manage leave, shift planning, and compliance

  • Escalate staffing issues and liaise with clinical directors, supervisors, and medical workforce teams to resolve rota conflicts

Digital Systems & Reporting

  • Implement and support the use of e-rostering modules, including time & attendance, self-service, dashboards, and payroll validation

  • Produce and analyse roster reports, ensuring data accuracy and insightful reporting for service improvement

  • Monitor annual and study leave usage, ensuring adequate service coverage at all times

Staffing & Workforce Support

  • Support locum and agency recruitment, verifying GMC registration, right to work, and coordinating induction processes

  • Collaborate with HR and temporary staffing teams to reduce bank and agency spend

  • Act as a point of contact for sickness reporting, ensuring proper escalation and support for absence management

  • Coordinate IT access and system logins for doctors, including locums and new starters

Service Support & Development

  • Assist with junior doctor induction and recruitment

  • Provide pastoral support and organise team-building events for medical staff

  • Contribute to workforce improvement initiatives and cost-saving strategies

  • Participate in audits, policy reviews, and service development projects

About You

We’re looking for someone who:

  • Has experience working in rota or workforce planning within a healthcare or clinical setting

  • Is confident using digital workforce systems (e.g., HealthRoster, eRostering, NHS systems)

  • Possesses excellent communication and interpersonal skills, able to coordinate across teams and departments

  • Demonstrates attention to detail, organisational excellence, and ability to prioritise under pressure

  • Understands NHS processes, agency/bank staffing procedures, and rota compliance with WTD
