About the Role: Senior Accountant, Payroll
We’re hiring a Senior Accountant, Payroll to expertly manage our complete payroll accounting cycle. This means you’ll be responsible for payroll processing, reconciliations, and reporting, all while strictly adhering to company policies and federal, state, and local payroll and tax regulations. We need someone who can work with accuracy, timeliness, and ownership, applying strong judgment and critical thinking in a fast-paced setting. The ideal candidate will have a solid background in accounting, direct payroll experience, and a deep understanding of payroll accounting principles.
What You’ll Do
- Oversee full-cycle, semi-monthly payroll processing for multiple subsidiaries, covering employees across nearly all 50 states. This involves integrating payroll data from various internal departments and external benefit providers, plus meticulously maintaining all supporting documentation.
- Support the month-end close process by ensuring payroll transactions are accurately and timely recorded in the general ledger, preparing essential reports, and managing reconciliations.
- Process off-cycle payroll batches as needed (e.g., terminations, equity releases for ISO/NSO/ESPP/RSUs, reimbursements).
- Review and process semi-monthly hours from our timekeeping system, then import them into the payroll module. You’ll independently identify, investigate, and resolve payroll discrepancies.
- Generate month-end and year-end reconciliation reports for 401k, benefits, and equity teams. Ensure payroll compliance related to multi-state/multi-jurisdiction tax withholding, garnishments, and key annual audits (e.g., 401(k), workers’ compensation, external financial audit).
- Design and implement scalable processes to boost payroll operational efficiency and accuracy, including developing internal control measures and periodically reviewing Sarbanes-Oxley compliance.
- Prepare payroll reports for various internal departments, such as Finance, Accounting, Legal, Equity, and People Operations.
- Reconcile and validate 401(k)/Roth contributions and resolve any discrepancies.
- Review W-2s and ensure their accurate and timely issuance.
- Independently manage the payroll accounting email inbox, providing prompt, effective, and accurate responses to payroll-related questions based on professional knowledge, issue investigation, and critical thinking.
- Maintain excellent recordkeeping practices and payroll files.
- Develop and implement standard operating procedures for payroll accounting.
- Assist with other accounting and finance projects as needed.
What You’ll Bring
- A bachelor’s degree in accounting, finance, or a related field.
- 5+ years of experience in a payroll function, ideally within a fast-paced, public company environment.
- Experience with multi-state payrolls for over 1,000 employees, covering both exempt and non-exempt staff.
- Detailed knowledge of payroll compliance and a working knowledge of state/federal employment laws/regulations. Experience with shift differentials is a plus.
- Paylocity and NetSuite experience are preferred.
- The ability to manage multiple tasks and take full ownership of your work. You should have a proven track record of meeting multiple deadlines in a rapidly growing environment with frequently changing priorities.
- A tech-savvy mindset and a passion for end-to-end design and improvement.
- The ability to work independently and as part of a team, tackling new tasks of varying difficulty in a fast-paced setting.
- Proficiency in spreadsheet software (MS Excel and Google Sheets) and word processing (MS Word and Google Docs). Advanced Excel skills are preferred.
