We are excited to offer two full-time, permanent opportunities for Team Assistant – IT & Data roles within our Group Tech teams at Howden Group. Based in our Central London office (133 Houndsditch, EC3A 7DB) and following a hybrid work model, these Team Assistant – IT & Data positions will provide vital secretarial and administrative support to team leaders, helping ensure seamless coordination and high operational efficiency across our teams.

Key Responsibilities of the Team Assistant – IT & Data

In the Team Assistant – IT & Data role, you will be responsible for:

Planning and Reporting:

  • Accurately produce meeting minutes and related documentation.

  • Manage assigned projects and assist with others as required.

  • Provide relevant management information to managers and leaders.

PA Support for Nominated Individuals:

  • Organize diaries, files, and electronic records effectively.

  • Screen calls and emails, prioritize responses, and manage routine inquiries.

  • Prepare paperwork and support administrative tasks for meetings and personal matters.

Essential Skills for the Team Assistant – IT & Data Role

General Administration Duties:

  • Arrange both local and international travel, including visas, insurance, and detailed itineraries.

  • Liaise efficiently with Facilities, post room, and reception teams.

  • Create professional documentation using software packages with a focus on accuracy and brand style.

  • Process invoices and manage expense reconciliations for the department.

  • Keep departmental records updated on the Company’s and Group’s systems.

  • Offer secretarial coverage for the wider department as needed and screen calls professionally.

What We Are Looking For:

  • Previous experience in a fast-paced administrative or secretarial role, ideally team support.

  • Skilled in diary management and travel itinerary planning.

  • Strong organizational and prioritization abilities with a flexible approach to tight deadlines.

  • Proactive problem-solving mindset.

  • Excellent communication skills, presenting a professional image to both internal and external stakeholders.
