Virtual Administration Ltd is seeking a skilled and experienced Virtual Personal Assistant to provide remote administrative support to our private healthcare clients. This is a self-employed, home-based freelance position—perfect for those seeking flexibility while delivering high-quality PA support.
We are a growing team of 18 experienced Virtual PAs, proudly supporting 80+ healthcare professionals, including occupational therapists, case managers, physiotherapists, neuropsychologists, and more.

Based in the UK and eligible to work here

Friendly, professional, and empathetic in communication

Able to work independently, using initiative and sound judgment

Calm under pressure, organised, and detail-oriented

A confident communicator over phone and email

Tech-savvy with strong Microsoft Office (especially Outlook, Word, Excel)
Required Experience

3+ years as a PA at Director level

Handling new enquiries via phone and email
-
Responding professionally on behalf of clients

Minute-taking during live Zoom meetings and transcribing recorded sessions

Proofreading and formatting complex medical or professional reports

Creating functional Excel spreadsheets (using filters and formulas)

Typing from audio files
-
Organising meetings and events
-
Invoicing through online platforms

Using bespoke patient record management systems
Technical & Legal Requirements

Reliable computer, printer, scanner, and high-speed internet

Desktop version of Microsoft Office & Outlook

Robust cybersecurity measures in place

Understanding of GDPR, confidentiality, and medical ethics
